I Hit 400 Billable Hours in One Month and Found Out My Team Was Cheering for the Wrong Reason
So back in March my little shop somehow logged 400 billable hours across 5 people. Sounds great, right? I did the math and we were averaging 20 hours per person per week, which for a 4 person team plus me felt unreal. I printed the report and taped it to the wall like a trophy. Then our project manager pulled me aside and asked why our retainer clients were only getting 6 hours of actual strategy work that month. Turns out our tracking was a mess. Two people were logging internal meetings as billable, one guy logged 80 hours on a single account, and I had been billing admin time for months without noticing. The number looked like a win but it was really just a mirror showing us we had no idea where our time actually went. Have any of you caught a billing error that looked like a victory at first glance?
